Telehealth Policy – Iowa & Washington

At Earth Sent Wellness, we provide virtual care services designed to make healthcare accessible, private, and convenient for our patients. This policy outlines our approach to telehealth services in compliance with state and federal regulations.

1. Provider Licensure

​​

  • All telehealth services are delivered by Family Nurse Practitioners licensed to practice in Iowa and Washington.

  • Patients must be physically located in one of these states at the time of their telehealth visit.

​

2. Scope of Services

 

Telehealth visits may include:

​

  • Women’s health, hormone health, and weight management

  • Preventive care, health promotion, and patient education

  • Assessment, evaluation, diagnosis, and treatment of acute and chronic conditions

  • Counseling, wellness coaching, and behavioral health support as appropriate within scope

​

3. Patient Location Requirement

​​

  • If a patient is not physically present in Iowa or Washington during the telehealth session, the visit will be canceled and may be subject to a no-show fee.

​

4. Technology & Limitations

​​

  • Telehealth services are provided using secure video conferencing and/or phone consultations.

  • While telehealth improves access to care, it has limitations: certain physical examinations, diagnostic procedures, or treatments may require an in-person evaluation.

  • Patients are encouraged to maintain regular in-person visits with a local healthcare provider, including an annual physical examination.

5. Risks & Benefits

 

Potential benefits include improved access, reduced travel, and convenience.
Potential risks include interruptions, unauthorized access, or technical difficulties. If technology issues interfere with care, either the patient or provider may end the visit and reschedule.

6. Privacy & Confidentiality

​​

  • All telehealth services comply with HIPAA and applicable state privacy laws.

  • Sessions are not recorded without patient consent.

  • Patients should ensure they are in a private, secure location for their appointment.

  • Earth Sent Wellness maintains appropriate administrative, physical, and technical safeguards to protect protected health information (PHI).

7. Emergencies & Limitations of Care

​​

  • Earth Sent Wellness does not provide emergency services.

  • If you are experiencing a medical emergency, call 911 or go to the nearest emergency department.

  • Telehealth is not appropriate for all medical conditions. Providers may recommend in-person follow-up or referral to another healthcare professional if needed.

8. Fees & Payment

​​

  • Earth Sent Wellness is a cash-pay practice.

  • Payment is required at the time of booking by credit or debit card. Appointments are not confirmed until payment is received.

  • Insurance is not billed by this practice. Patients may request a superbill for potential out-of-network reimbursement.

  • Missed appointments or failure to be located in IA/WA at the time of visit may result in a no-show fee.

9. Patient Rights & Responsibilities

 

Patients have the right to:

​

  • Be informed about telehealth services, risks, and alternatives

  • Request privacy during sessions

  • Ask questions at any time

  • Decline or withdraw consent for telehealth services

 

Patients are responsible for:

​

  • Providing accurate health information

  • Ensuring they are in a state where the provider is licensed (IA or WA)

  • Maintaining a secure and private environment for telehealth sessions

  • Using a reliable device and internet connection

​

10. State-Specific Requirements

​​

  • Iowa: Patients must acknowledge Iowa’s telehealth consent requirements before treatment.

  • Washington: Patients will be provided with the required telehealth disclosure regarding provider training.
